Preparing Your Property Information Before a Sale
A clear property file makes it easier to discuss a possible sale and compare written offers. You do not need every document to begin, but organizing what you already have can prevent confusion about the property, occupancy and timing.
Identify the property accurately
Start with the full street address, state, city or county, and parcel number if available. Mailing addresses do not always identify the jurisdiction. For example, a Fredericksburg mailing address can refer to a property in a surrounding county, and Richmond County is separate from the City of Richmond.
Explain ownership and occupancy
Tell us whether the property is owner-occupied, vacant, rented or inherited. If there are multiple owners or someone is communicating on behalf of an owner, explain the situation. The title or settlement company will identify the ownership and authorization documents needed to close.
Collect condition and property records
Useful records can include existing surveys, permits, repair estimates, inspection reports, association information and known notices. For land, include access and utility details. For multifamily properties, prepare unit, rent and operating information if available.
Protect sensitive information
An initial inquiry usually needs basic property and contact information. Do not upload government identification, bank information, complete tenant applications or other sensitive records to a general contact form. Ask how any necessary transaction documents should be provided.
Discuss a practical timeline
Let the buyer know when you want to sell and whether there are deadlines or access limitations. Review the written terms and contingencies before committing. Explore our process, FAQs and Virginia and Maryland service areas to prepare for the conversation.
Tell us about your property
Share the address or parcel number, property type, condition, and your preferred timeline. There is no obligation to accept an offer.
